One AI Copilot across transport operations

How one assistant turns an order email into a reviewable Order, answers questions from your workspace and prepares the next step — while your team stays in control of every change.

Short answer

In AIGO, one AI Copilot works across Orders, Trips, documents and finance. It turns an email or PDF into a reviewable Order, answers questions from workspace data, extracts document fields and prepares actions. Extraction alone changes no business record, and every proposed action waits for a person to confirm it.

Key takeaways

  • An email or PDF becomes a reviewable Order, not a saved one.
  • A missing Client can be created inside the same Order flow.
  • Copilot answers from your workspace data and prepares actions; a person confirms every one.

Why one assistant instead of many tools

A transport day jumps between an inbox, a spreadsheet of Orders, a planning board, a folder of CMRs and an invoicing tool. Each switch costs attention, and each retyped value is a chance for a mistake.

AIGO puts one AI Copilot next to all of these areas. It sees the same workspace your team sees — limited to what the signed-in person is allowed to read — so a question about an Order, a Trip or an unpaid invoice gets an answer from your own data.

From email or PDF to a reviewable Order

A customer emails a transport order with a PDF attached. Forwarded to AIGO, the email lands in Communication. When a dispatcher clicks Create Order, AIGO reads the email and the attachment and opens the normal Order form with the fields already filled: route, loading and unloading windows, cargo, price and payment terms.

Above the form, the dispatcher sees what is missing, what is uncertain and which file and page each value came from. Clear wording such as “no pallet exchange” is mapped to the matching field; if the email and the PDF disagree, the field is flagged for review. Nothing is saved until the dispatcher presses Save.

Creating a missing Client in the same flow

Often the customer is new. Instead of leaving the Order to set up the Client elsewhere, the dispatcher clicks Create new Client. The form opens prefilled with the legal name and other reliable details from the document and shows which required fields still need completing.

Once the Client is saved, it is selected in the Order automatically and the dispatcher continues where they left off. One Order is created and stays linked to the original email.

Questions, documents and prepared actions

Copilot can answer everyday questions — which Orders are still unplanned this week, which Trips are missing a CMR, which invoices are overdue — using your workspace data.

Upload a driving licence, transport order or CMR and Copilot extracts the fields it can read. Extraction alone changes no business record: it is information to review, not a saved change.

When a next step is clear, Copilot prepares an action card: plan a Trip for a confirmed Order, attach a document to a Trip, or prepare an invoice draft for finance. The card shows exactly what will be created, and nothing happens until a person confirms it.

What Copilot does not do

Copilot does not run every platform setting, does not send invoices automatically and does not operate a live WhatsApp number. It prepares; your team decides. Every proposed action needs a person to confirm it, and each confirmed action is recorded once, so a double click cannot create a duplicate.
